Position Overview

Ultimate Staffing Services is actively seeking an experienced Property Manager to join their client's team in Florida. The Property Manager will serve as the face of the firm, managing daily property operations and ensuring the highest level of tenant satisfaction. This position requires a proactive individual who is available 24/7 to address property needs and manage both staff and contractors effectively.

Responsibilities

Operational Duties:

  • Provide excellent tenant service, responding to requests and generating work orders to vendors or maintenance staff.
  • Coordinate with vendors to maintain strong relationships and ensure 24-hour emergency property coverage.
  • Conduct periodic inspections to ensure compliance with leases and superior maintenance.
  • Maintain property and lease files according to company policy, preparing tenant lease files, records, and correspondence.
  • Administer tenant occupancy, providing necessary information about emergency contacts and maintenance requests.
  • Become proficient with Yardi and other software, coordinating entry of property information and establishing reporting protocols.
  • Monitor critical dates and manage contractor coordination for renovations and construction.
  • Obtain estimates/bids for property repairs as needed and coordinate signage production.

Administrative Duties:

  • Assist in establishing the Standard Operating Procedures Manual.
  • Aid in the production of departmental reports such as business plans and financial statements.
  • Manage filing, mileage, and expense reports, as well as other administrative tasks.

Financial Duties:

  • Prepare accurate monthly reports and annual financials, including variance reporting and inspection reports.
  • Sort, code, and ensure accuracy of property-related invoices, verifying amounts with approved work orders.
  • Assist accounting with property-related questions and vendor issue resolutions.
  • Process utility bill-backs to tenants and assist with collections.
  • Investigate cost reduction opportunities and prepare annual property budgets.

Qualifications

  • 3-5 years of property management experience, preferably in commercial real estate.
  • Intermediate proficiency in Microsoft Word and Excel.
  • Ability to spend time in the field weekly to ensure property improvements and contracted services are upheld.
  • Must remain on call as an emergency response contact.

Salary Range: $50,000 - $60,000 per year
